Sport Club Travel

In order to facilitate student sport club travel, please use the below guidelines as a checklist and complete each step following the proper timeline indicated.  All sport clubs are expected to adhere to the standards established in the sport club handbook as well as all other college guidelines. Failure to follow the timeline outlined below can result in failure to travel or no reimbursement issued.

Travel Checklist

  1. All sport club participants must complete the sport club waiver form, emergency medical authorization, and agreement before participating in any sport club activity.  Please contact the Director for access.
  2. Complete any driver training and/or van driver training prior to any travel.  Completion of driver training is needed in order to receive any travel reimbursement.  
  3. Complete and submit the Travel Authorization and Travel Itinerary to the Director no less than 10 business days prior to travel.  Following submission of these forms, you will receive permission to complete the Sport Club Travel Form no less than 10 business days prior to travel.
  4. If you're intending to stay overnight and need to find overnight hotel accommodations, please review this hotel checklist prior to submission of your Sport Club Travel Form.  
  5. Attend the Sport Club Travel meeting held every Wednesday at 3:30 PM.  This is a mandatory meeting for the trip leaders.  All who are traveling are welcome to attend.  Meetings are held in the Director's office.
  6. Meet with the Director and turn in all receipts within 3 business days upon your return from travel to complete the travel reimbursement paperwork.
  7. All travel communication should be emailed and addressed to lbuchana@cofc.edu and hammondho@cofc.edu
